YWCA Office Manager/Volunteer Coordinator

Reports to: Executive Director

Function: Oversee the daily operations of the administration building and coordinate volunteers – Non-Exempt

As the Office Manager/Volunteer Coordinator with YWCA Southern Colorado you would play a central role in overseeing the daily operations of our administration building and coordinating our volunteers. You would use your professional skills to assist staff and clients in day-to day functioning, support other members of the treatment team, and collaborate with professionals within and outside our agency to assure that clients receive the very best care available.

Specifically, the Office Manager/Volunteer Coordinator will:

  • Answer phone calls and man the front desk when we do not have volunteers available to do so
  • Monitor office supplies going in/out (Inventory Control)
  • Management and recruitment of volunteers
  • Problem solve and coordinate maintenance on office equipment
  • Oversee work orders and under the guidance of the ED schedule repairs;
  • Assist in collecting price comparisons when starting a new service or project
  • Assist all directors on projects to include but not limited to: filing, coping, telephone calls, ordering supplies, coordinating appointments
  • Assist in the hiring process by coordinating the new hire orientation and onboarding documents
  • Assist in planning, set-up and organization of special events and schedule volunteers for special events in coordination with special event chairs and Development Director
  • Assist the Development Director with tracking and data entry of donations, and preparing thank you letters for all donors
  • Data entry of all individual donations into Little Green Light database
  • Assist with call backs of donors during all fundraising campaigns
  • Prepare all mailings for fundraising events and handle the preparation and delivery of all bulk order mailings
  • Performs other job-related duties assigned by the director or his/her designee

Physical requirements include the following:

  • Requires standing, sitting, driving, and walking for prolonged periods of time
  • Occasionally lifts and carries items up to 50 pounds
  • Requires working under stress in emergency situations
  • Requires normal range of hearing and eyesight to record data electronically and communicate with clients
  • Requires occasional driving in adverse weather conditions
  • Requires frequent use of hands and fingers to operate computer

Minimum Qualifications:

  • Associates or Baccalaureate degree in business administration, human resources or a closely related field, will accept work experience in lieu of degree
  • Computer proficiency
  • Colorado driver's license, a good driving record and transportation.
